How it works

One job. One record. Every gate.

You've seen the five phases a job moves through. This is how SafetyFlow is built to run them: eight specialist digital workers, organised in three lanes, standing on one spine.

01The job lands
02Before anyone's on site
03At the gate
04On the job
05Job closed

Every digital worker on this page is tagged to the phase it serves.

Job Readiness

Reads the job the moment it lands, from email, portal or your job system, and pulls out the scope, the site and every compliance requirement buried in it. Opens the job record. Flags what's missing before anyone acts on it.

02

Set Up

Job Readiness

Makes the job ready. Matches the job to a worker who holds what the site needs: the right tickets, a current induction for this client, live SWMS coverage. Books what has to be booked. Briefs the team before they leave the depot.

03At the gate
03

Pre-Work

Field Operations

The gate. At sign-on it confirms everything is in place: induction current, permit issued, SWMS signed, insurance current, lone-work status known. If something is missing, the job record is held until it clears. Nobody is stopped on site; the job cannot close around the gap.

04

SWMS

Field Operations

Builds the site-specific SWMS from the real scope of work, checked against all 18 High Risk Construction Work (HRCW) categories, and captures the worker's sign-on. Never a template.

04On the job
05

Worker Companion

Field Operations

The team's contact in the field, inside WhatsApp. Prompts for evidence as the work happens: the site as found, the safety set-up, progress, completion. Captures variations and new hazards the moment they appear. Answers questions. Escalates when something needs a human.

06

Completion

Field Operations

Closes the work on site: completion evidence, sign-out, permit close-out. Assembles the audit-ready record so the proof exists the day the job finishes, not weeks later.

05Job closed
07

Closeout

Back Office

The client-facing tail: customer artefacts prepared, portals updated, acceptance captured. What the client needs, delivered without anyone in the office re-keying it.

08

Financial Close

Back Office

The invoice out the door with the compliance pack attached, purchase order verified, dispatched into your job system. The job is closed when it's paid for, not when the tools go back in the ute.

Gates, explained

Most compliance software records what happened. SafetyFlow's gates decide what can happen next. Because the gates live in the engine and not in the AI, they cannot be argued with, forgotten, or prompted around. When a regulator, a client or a court asks how a job was controlled, the answer is the record, and the record cannot have skipped a gate.

The gate governs the record, not the worker.

Inside the systems you already run

Your job systemWhatsAppInduction platformsClient portalsEmail

Your job system stays the system of record, whether that's Simpro, AroFlo or another platform. WhatsApp is the field channel. Induction platforms, client portals and email are read and updated where they live. Where a system offers a published connection, SafetyFlow uses it. Where it doesn't, the crew works through your team's own authorised logins. Nothing is ripped out, nothing is replaced.

Built on AWS using the Anthropic and OpenAI toolsets.
